Dear {{First name | Fellow Toastmaster}}!
BAD NEWS FIRST
Notes from the last meeting on May 8th 2024 were not sufficient to create a detailed recap of the meeting we all got used to over the past weeks, however…
GOOD NEWS
We dug into our club’s archives and found this forgotten agenda from The Seven Kingdoms!
Why?
We realized that many of our guests and newer members tend to get confused about the club roles and meeting functionaries so we are taking this opportunity to clarify it all.

📣👮Officer Announcements
From Scott Brown, President: We invited folks from our host Chamber of Commerce to the next meeting (May 15, moved from the last week) and we expect a full room, be bold & speak up!
From Katka Sabo, VP of Membership & Toastmaster for the Upcoming meeting: Members, there are still some slots left for Wednesday night - if you know you are coming, sign up & help us run a great meeting 🙏!
Now back to Westeros…
Meeting Opening by Club’s Officers
There’s certain formality to all Toastmasters meetings - this is what to expect from the very first few minutes.

Sergeant-at-Arms: Missandei
Sgt. at Arms:
Calls the meeting to order at the beginning & post-break
Reminds to turn off the cell phones
Introduces the President
Elected every 6 months
If absent, can be represented by another member
“Missandei calls the meetings to order with the same clarity and command she uses when translating for the Mother of Dragons—no one dares to be late or be distracted by their phone”.

President: Lady Sansa Stark
President:
Provides opening & closing remarks
Welcomes members and guests
Makes announcements and solicits officers’ reports
Elected every 6 months
If absent, another club officer usually steps in
“Sansa welcomed members and guests with her opening remarks worthy the Lady of Winterfell and set a tone of unity and learning. She also reminded the assembly to sign in on the parchment guest book.“
🧑💻📋 Functionaries Part 1
There are 7-8 functionary roles in every meeting - here we are starting with introducing the first four referring back to our Westeros Edition Agenda.

Toastmaster: Tyrion Lannister
Toastmasters (of the Day):
Hosts the meeting and provides an overview,
Introduces functionaries
Manages the flow of the meeting
“With a sharp tongue and a sharper mind, Tyrion can keep any crowd captivated and ensure the meeting is as smooth as his favorite wine.”

Timer: The Hound
Timer:
Times the Table Topics, prepared speeches, and evaluations, indicating time with colored visuals
“The Hound, known for his no-nonsense attitude and keen awareness of his surroundings, he was kept an eye on the watch, raising green, yellow and red flags as the speaker approached the allotted time.”
